Please read these Terms and Conditions carefully before using our website, requesting travel-planning services, approving a reservation, or making a payment.
Important: Travel reservations are also governed by the terms, conditions, fare rules, cancellation policies, health requirements, and passenger contracts of the airlines, cruise lines, hotels, resorts, tour operators, insurance providers, and other suppliers involved in your trip. Supplier terms may be more restrictive than these website terms.
1. Agreement to These Terms
These Terms and Conditions apply to the Our Family Travel website, communications, quotes, reservations, travel-planning assistance, and other services we provide.
By using this website, submitting an inquiry, asking us to research or arrange travel, authorizing a reservation, or submitting payment, you confirm that:
- You have read and agree to these Terms and Conditions.
- You are at least 18 years old and legally able to enter into an agreement.
- You have authority to act for every traveler included in your reservation.
- You will provide these terms and all supplier terms to the other travelers in your party.
- The information you provide to us is complete and accurate.
When one person communicates with us on behalf of a family, couple, group, or traveling party, that person is considered the authorized contact for the reservation unless we are told otherwise in writing.
Back to top2. Our Role as Your Travel Advisor
Our Family Travel assists clients by researching, recommending, coordinating, and arranging travel services offered by independent travel suppliers.
Depending on your trip, these suppliers may include:
- Airlines and air consolidators
- Cruise lines
- Hotels and resorts
- Tour operators and package-vacation companies
- Car-rental and transportation companies
- Excursion and activity providers
- Destination-management companies
- Travel-insurance providers
- Other independent travel-related businesses
Unless expressly stated otherwise in writing, Our Family Travel does not own, manage, control, or operate these suppliers or their aircraft, ships, hotels, vehicles, facilities, staff, services, or activities.
Our role is to help arrange your travel. The travel suppliers are responsible for delivering the services you purchase from them.
Back to top3. Independent Travel Suppliers
Each supplier establishes its own prices, rules, schedules, refund policies, cancellation penalties, documentation requirements, and conditions of carriage or service.
By approving a booking, you also agree to the applicable supplier's terms. These terms may be included in your confirmation, invoice, ticket, passenger contract, brochure, website, mobile application, or other travel documents.
Supplier policies may change without advance notice. Our Family Travel cannot waive, modify, or override a supplier's rules unless the supplier expressly authorizes the change.
We are not responsible for a supplier's acts, omissions, financial condition, bankruptcy, schedule changes, service quality, staffing, maintenance, safety procedures, or failure to provide a promised service.
We will make reasonable efforts to help you communicate with a supplier and pursue available solutions when a problem occurs, but we cannot guarantee the supplier's decision or response.
4. Quotes, Availability, and Itineraries
Travel quotes are based on the information available when the quote is prepared. Unless a reservation has been confirmed and the required payment has been processed, availability and pricing are not guaranteed.
Airfares, cruise fares, room categories, promotions, exchange rates, taxes, fuel supplements, resort fees, port charges, government fees, and other travel costs may change at any time.
A quote is not a reservation. Space may sell out or prices may change while you are reviewing an option.
Photographs, maps, descriptions, deck plans, resort layouts, room diagrams, and other supplier materials are provided for general reference. Actual accommodations, views, furnishings, features, and conditions may differ.
Proposed itineraries are planning documents and remain subject to confirmation, supplier changes, weather, operational conditions, and local circumstances.
Back to top5. Booking Authorization
Before a reservation is finalized, you are responsible for reviewing all available details, including:
- Traveler names and dates of birth
- Travel dates and destinations
- Airports, cruise ports, and transfer points
- Flights and connection times
- Cabin, room, fare, or package category
- Deposit and final-payment deadlines
- Cancellation and change penalties
- Included and excluded services
- Insurance selections or waivers
- Supplier terms and restrictions
Your verbal, written, electronic, or payment authorization allows Our Family Travel to make the requested reservation on your behalf.
You must notify us promptly if a confirmation contains an error. Corrections requested after ticketing or confirmation may result in supplier fees, fare increases, rebooking costs, or cancellation penalties.
We reserve the right to decline or discontinue a booking request when necessary, including when information is incomplete, payment cannot be verified, supplier requirements are not met, or communications become abusive, fraudulent, threatening, or unlawful.
Back to top6. Payments, Pricing, and Fees
Payment authorization
By providing payment information, you authorize the approved travel charges to be processed by the applicable supplier, Our Family Travel, or an authorized payment processor.
Many travel payments are processed directly by the supplier. Your bank or card statement may therefore display the supplier's name rather than Our Family Travel.
Payment deadlines
Deposits and final payments must be received by the deadline established by the supplier. Suppliers may automatically cancel a reservation when payment is late or incomplete.
We may send courtesy reminders, but you remain responsible for knowing and meeting all payment deadlines shown on your invoice or confirmation.
Pricing errors
We make reasonable efforts to present accurate prices. However, supplier systems, data feeds, websites, and booking platforms may occasionally display incorrect information.
When a supplier identifies an error, the supplier may refuse or correct the reservation. You may be required to accept the corrected price or cancel the affected service subject to applicable law and supplier policy.
Planning or service fees
Our Family Travel does not currently apply special booking policies beyond those disclosed with your individual trip. If a professional planning, consultation, change, group, cancellation, or other agency service fee applies to a future request, it will be disclosed before you agree to it.
Supplier fees are separate from any fee charged by Our Family Travel.
Foreign transactions
International transactions may be affected by currency conversion, exchange-rate fluctuations, or foreign-transaction fees imposed by your bank or card issuer. We do not control those charges.
Back to top7. Changes and Cancellations
Requests to change or cancel a reservation should be sent to us in writing whenever possible. A request is not complete until it has been acknowledged and processed by the applicable supplier.
Changes and cancellations may result in:
- Supplier cancellation penalties
- Loss of deposits or promotional benefits
- Change or reissue fees
- Fare or rate increases
- Single-supplement or occupancy changes
- Loss of group amenities or group pricing
- Nonrefundable agency work already performed
- New taxes, fees, or currency adjustments
Some reservations become partially or entirely nonrefundable immediately after booking. Others become more restrictive as the departure date approaches.
Failure to travel, appear for a flight, arrive at a cruise, check into a hotel, or use another reserved service may be treated as a no-show. No-show reservations are commonly nonrefundable and may cause later portions of an itinerary to be canceled.
Changes requested by one traveler may affect the price or arrangements of other travelers in the same reservation, room, cabin, or group.
Back to top8. Refunds, Vouchers, and Travel Credits
Refund eligibility is generally determined by the applicable supplier's terms and any controlling law or regulation.
When a refund is approved, the timing and method of payment may depend on the supplier, payment processor, airline, cruise line, hotel, tour operator, insurance provider, or financial institution involved.
Refunds are generally returned to the original form of payment unless the supplier or applicable law provides otherwise.
Travel credits and vouchers may have restrictions involving:
- Expiration or book-by dates
- Travel-completion deadlines
- Eligible travelers
- Eligible destinations or products
- Transferability
- Fare differences
- Blackout dates
- One-time-use requirements
You are responsible for reviewing and using credits before they expire. We may provide reminder assistance, but we are not responsible for an unused, lost, expired, or forfeited credit.
Our Family Travel does not guarantee that a supplier will authorize a refund, exception, credit extension, or policy waiver.
Back to top9. Chargebacks and Payment Disputes
Please contact us promptly if you believe a travel charge is incorrect. We want an opportunity to review the issue, confirm the supplier's records, and help pursue an appropriate solution.
A chargeback does not automatically cancel a reservation, eliminate a valid cancellation penalty, or release a traveler from amounts properly owed under supplier terms.
Filing a chargeback for a valid, authorized charge may cause a supplier to cancel the reservation, suspend services, invalidate tickets or documents, or pursue collection of unpaid amounts.
Nothing in these terms limits any dispute rights that cannot legally be waived. Travelers should use payment disputes honestly and provide accurate information to their card issuer.
Back to top10. Traveler Names, Information, and Documents
You are responsible for providing each traveler's complete legal name exactly as it appears on the identification or passport that will be used for travel.
You are also responsible for providing accurate:
- Dates of birth
- Gender markers when required by a supplier
- Citizenship and residency information
- Passport details
- Known Traveler Numbers
- Redress numbers
- Frequent-traveler account information
- Emergency contacts
- Accessibility and dietary requests
Name corrections and other changes may be restricted or prohibited after booking. When permitted, they may require cancellation and rebooking at the current price.
Review all invoices, confirmations, tickets, and travel documents immediately. Notify us promptly if anything appears incorrect or incomplete.
Back to top11. Passports, Visas, and Entry Requirements
Each traveler is responsible for determining and meeting all passport, visa, identification, vaccination, customs, immigration, transit, and entry requirements for every destination and connection point on the itinerary.
Requirements may vary based on:
- Citizenship
- Country of residence
- Age
- Destination
- Transit airport or country
- Length and purpose of travel
- Passport validity and available pages
- Prior travel history
- Criminal history
- Custody or parental-consent circumstances
- Health or vaccination status
Information provided by Our Family Travel is general planning assistance and is not a substitute for confirmation from the appropriate government, embassy, consulate, immigration authority, airline, or cruise line.
Requirements can change after a reservation is made. Travelers should verify current requirements again before departure.
Our Family Travel is not responsible when a traveler is delayed, fined, detained, denied boarding, denied entry, deported, or required to return home because of missing, incorrect, damaged, expired, or insufficient documentation.
Back to top12. Health, Safety, Accessibility, and Special Needs
Travel may involve walking, stairs, uneven surfaces, transfers, altitude, heat, cold, water activities, remote locations, limited medical facilities, or other physical demands.
Travelers are responsible for evaluating whether a trip, accommodation, transportation service, excursion, or activity is appropriate for their individual health and abilities.
Please tell us as early as possible about mobility needs, service animals, medical equipment, dietary restrictions, allergies, cabin requirements, room-accessibility needs, or other requested accommodations.
We will communicate requests to the applicable supplier, but cannot guarantee that a particular accommodation will be available or provided. Supplier approval may be required, and additional charges may apply.
Travelers should consult a qualified healthcare professional regarding medical fitness for travel, prescriptions, vaccinations, preventive care, and destination-specific health concerns.
Our Family Travel does not provide medical advice and is not responsible for medical decisions, treatment, emergencies, illness, injury, quarantine, or the availability or quality of medical care at a destination.
Back to top13. Travel Insurance and Travel Protection
Travel involves financial and personal risks. We strongly encourage travelers to consider an appropriate travel protection plan.
Depending on the selected plan, available benefits may include coverage for certain trip cancellations, interruptions, delays, baggage problems, emergency medical expenses, emergency evacuation, or other covered events.
Coverage is never assumed. All benefits, exclusions, conditions, deadlines, and claim decisions are determined by the insurance policy or protection plan.
Some benefits may be available only when coverage is purchased within a limited time after the first trip payment. Pre-existing-condition provisions and Cancel For Any Reason options may also have special eligibility and purchase requirements.
You are responsible for reviewing the full policy and contacting the licensed insurance provider with coverage questions. Our Family Travel cannot guarantee that a claim will be approved.
When insurance is declined, the traveler accepts responsibility for cancellation penalties, medical costs, evacuation costs, delays, interruptions, lost baggage, supplier failure, and other losses that might otherwise have been eligible for coverage.
Purchasing travel protection does not guarantee payment of a claim. Claims are evaluated by the insurance provider according to the policy's terms and supporting documentation.
14. Air Travel
Airline schedules, aircraft, seats, routes, flight numbers, connection times, and operating carriers may change. Airlines retain control over their operations and passenger accommodations.
Travelers are responsible for:
- Reviewing airline confirmations and schedules
- Completing required airline check-in
- Arriving at the airport with sufficient time
- Having acceptable identification and travel documents
- Following baggage limits and prohibited-item rules
- Monitoring flight status before and during travel
- Meeting boarding and gate deadlines
- Confirming seats and special-service requests
Seat assignments are requests unless confirmed by the airline. Airlines may change seats for operational, safety, aircraft, disability-accommodation, or other reasons.
Separate airline tickets may not be protected as a single itinerary. A delay involving one ticket may not require the airline or supplier of a separate ticket to rebook or reimburse the traveler.
Airline refund rights depend on the circumstances, applicable law, the form of payment, and whether the traveler accepts an alternative flight, voucher, or other arrangement.
Back to top15. Cruises, Resorts, Tours, and Activities
Cruises
Cruise reservations are governed by the cruise line's passenger ticket contract. Cruise lines may change ports, arrival and departure times, routes, ships, cabins, onboard offerings, or other itinerary components for operational, safety, weather, regulatory, or other reasons.
A missed cruise departure or port departure can result in substantial expenses. Travelers are responsible for arriving at the designated terminal and returning to the ship before the required all-aboard time.
Hotels and resorts
Hotel and resort standards, room sizes, bedding, amenities, star ratings, accessibility, dining, construction conditions, and service levels vary by destination and supplier.
Local hotels and resorts may collect charges directly, including resort fees, deposits, parking fees, tourism taxes, environmental fees, or incidental holds.
Tours, excursions, and activities
Excursions and activities may involve risks, including transportation, wildlife, water, heights, strenuous activity, weather, terrain, equipment, or remote locations.
Travelers must follow provider instructions and disclose relevant health, age, weight, mobility, or participation restrictions.
Participation is voluntary and may require a separate waiver or release from the activity provider.

Travelers must comply with applicable laws, supplier rules, safety instructions, dress requirements, customs regulations, and standards of conduct.
A supplier may refuse service, remove a traveler, deny boarding, or terminate participation when it determines that a traveler's conduct is unsafe, disruptive, abusive, threatening, discriminatory, intoxicated, unlawful, or harmful to other people or property.
A traveler removed from a service is responsible for any resulting transportation, lodging, medical, legal, or other expenses. Refunds are not guaranteed.
Parents and guardians remain responsible for the supervision and conduct of minors traveling with them.
Back to top17. Events Beyond Our Reasonable Control
Travel can be disrupted by circumstances that neither Our Family Travel nor the traveler can control.
These events may include:
- Severe weather or natural disasters
- Fire, flood, earthquake, hurricane, or volcanic activity
- Epidemics, pandemics, or public-health measures
- War, terrorism, civil unrest, or political instability
- Government orders, border closures, or travel restrictions
- Strikes, labor shortages, or staffing disruptions
- Mechanical problems or transportation failures
- Air-traffic-control restrictions
- Cyberattacks, power failures, or system outages
- Supplier insolvency, bankruptcy, or cessation of operations
- Construction, maintenance, or facility closures
- Other events outside our reasonable control
In these circumstances, supplier terms and applicable law will determine available refunds, credits, substitutions, or other remedies.
Our Family Travel will make reasonable efforts to assist, but is not responsible for losses, delays, additional costs, missed services, or inconvenience caused by events beyond our reasonable control.

To the fullest extent permitted by law, Our Family Travel is not liable for the acts, errors, omissions, representations, warranties, breaches, negligence, misconduct, bankruptcy, or failure of an independent travel supplier or other third party.
This includes, without limitation, claims involving:
- Personal injury, illness, disability, or death
- Property damage, theft, or baggage loss
- Supplier cancellations or schedule changes
- Missed connections or missed departures
- Denied boarding or denied entry
- Service delays or interruptions
- Accommodation quality or location
- Construction, noise, or unavailable amenities
- Food, water, sanitation, or medical care
- Weather, wildlife, terrain, or local conditions
- Computer, payment, communication, or reservation-system errors
- Acts or omissions of other travelers
To the fullest extent permitted by law, Our Family Travel will not be liable for indirect, incidental, special, exemplary, punitive, or consequential damages, including lost enjoyment, lost income, lost business, emotional distress, or loss of opportunity.
Where liability cannot legally be excluded, Our Family Travel's total liability relating to a claim will not exceed the amount of any professional fee paid directly to Our Family Travel for the specific service giving rise to the claim, except where a different limitation is required by law.
Nothing in these terms excludes a responsibility or remedy that cannot lawfully be excluded or limited.

Any claim relating directly to Our Family Travel should include:

- A description of the issue
- Relevant dates and communications
- Supporting receipts or documents
- The resolution being requested
Before filing a lawsuit, the parties agree to make a good-faith effort to resolve the dispute through direct communication.
These terms are governed by the laws of the State of Illinois, without regard to conflict-of-law principles, except where federal law or another jurisdiction's mandatory consumer protections apply.
Any legal action involving Our Family Travel must be filed in a court with proper jurisdiction in Illinois, unless applicable law requires a different location.
Supplier disputes may be governed by a different state, country, forum-selection provision, passenger contract, arbitration agreement, or claims procedure contained in the supplier's terms.

Severability

No waiver
A delay or failure to enforce a provision does not waive the right to enforce that provision later.
Entire agreement
These terms, our Privacy Policy, your written booking documents, and the applicable supplier terms form the agreement relating to your use of our services. A written trip-specific agreement or supplier rule controls when it directly conflicts with a general provision on this page.
